How to plan a corporate event in Amman: the timeline that works

7 min read By The Big Agency, Amman

Plan a corporate event in Amman backwards from the date. Fix the objective, guest list and budget eight weeks out; book the venue and technical suppliers six weeks out; send invitations four weeks out; lock the run-of-show a week before; and run a full technical rehearsal before the doors open. The Big Agency plans, produces and covers events in Amman, Jordan.

Start from the objective, not the venue

The most common planning mistake is booking a venue first and deciding what the event is for afterwards. The venue then shapes the event: its size sets the guest list, its standard package sets the production, and its availability sets the date.

Write one sentence before anything else: what has to be true the day after the event for it to have been worth the money? Signed partners, press coverage, registered leads, a full first week at a new branch. That sentence decides the format, the guest list, the budget split and what has to be filmed.

What actually drives the budget

Two events with the same guest count can differ several times over in cost. The variables below move the number far more than the choice of agency does, so settle them before comparing quotes.

  • Guest count and venue - which also decide the catering, often the largest single line.
  • Production level - a lectern and a screen, or a built stage, LED walls, lighting design and show control.
  • Coverage - photographers, cameras, live streaming and how much content is edited on the day.
  • Branding and print - backdrop, screens, signage, badges, printed material and invitations.
  • Lead time - rush bookings cost more and leave fewer venues and suppliers to choose from.

What to check at a venue in Amman

Most problems on the day were visible on the site visit. Walk the venue at the same time of day as the event, and go through this list with the venue manager in the room.

  • Power: how many separate circuits there are, and whether the stage, the screens and the sound can run without sharing one.
  • Internet: a wired line you can test, if anything is being live-streamed. Venue Wi-Fi shared with the guests is not enough.
  • Access and load-in: the time suppliers can enter, the route for equipment, and the size of the lifts.
  • Parking and arrival: where guests park, and how long the walk is from the car to the door.
  • Light: whether daylight can be blocked for the screens, and whether the room is bright enough to film without extra lighting.
  • Sound: ceiling height, hard surfaces, and noise from the next hall or the street.

Local timing: the weekend, Ramadan and the seasons

In Jordan the weekend is Friday and Saturday, so business events usually run from Sunday to Thursday, and launches and openings often land on a weekday evening. During Ramadan the working day is shorter and evening iftar or suhoor gatherings tend to replace daytime events, which changes both the format and the venue options.

Weather matters for anything outdoors. Summer afternoons are hot, so outdoor events usually move to the evening; winter brings rain and cold, so every outdoor plan needs a covered alternative. Events at the Dead Sea or in Aqaba also need travel time and accommodation planned for guests and crew alike.

Corporate event timeline: what to lock, and when

A working timeline for a conference, a launch or an opening in Amman with six to eight weeks to plan. Coverage-only bookings compress the first rows.

How to run the planning, step by step

  1. 01

Write the objective in one sentence

What has to be true the day after the event? Leads, press, partners, footfall. Every later decision - format, guests, budget split, coverage - is checked against that sentence.

  2. 02

Set the guest list and the budget range together

The guest count decides the venue and the catering, and those decide most of the budget. Fix both early, as a range rather than a single number, so the plan has room to move.

  3. 03

Book the venue after a site visit, not from photos

Visit at the time of day the event will run. Check power, wired internet, load-in access, parking, daylight and sound with the venue manager present.

  4. 04

Confirm suppliers and branding in writing

Stage, sound, lighting, screens, print and invitations are confirmed in writing, with delivery and call times. Verbal confirmations are where events go wrong.

  5. 05

Freeze the run-of-show a week out, then rehearse

One minute-by-minute schedule that every supplier and speaker receives. The technical rehearsal runs every microphone, video, slide, lighting cue and the live stream before the doors open.

  6. 06

Plan the content before the day, collect it after

Write the shot list from the run-of-show, decide what is posted on the day, and agree delivery dates for the photo set and the recap film. Ask for every file in your name.

Questions people ask about this

How far in advance should a corporate event in Amman be planned?

Six to eight weeks is comfortable for a conference, a launch or an opening, and longer for anything with international speakers or a built stage. Coverage-only bookings - photography, video and live streaming - can usually be arranged in two to three weeks if the date is free.

How much does a corporate event cost in Amman?

There is no honest single figure, because the guest count, venue, catering, production level and coverage move the cost several times over. Ask any agency for a written scope with venue hire, catering and rentals listed as separate lines next to its own fee, so quotes can be compared fairly.

What is the best day for a business event in Jordan?

Sunday to Thursday, because the weekend in Jordan is Friday and Saturday. Weekday mornings suit conferences and B2B events; launches and openings often work best on a weekday evening, when guests are not heading back to the office afterwards.

Do we need a permit for an event in Amman?

Events inside a licensed venue such as a hotel normally run under the venue's own arrangements. Outdoor public events, street activations and anything that uses public space need prior approvals, and those take longer than people expect, so raise them first with the venue or with your event manager.

Should we live-stream the event?

Stream it when an important part of the audience cannot attend - staff in other cities, partners abroad, or a public launch. It needs a wired internet line at the venue, a clean feed from the sound desk and at least two cameras, and the line should be tested before the event day.

What should we receive after the event?

An edited photo set, a recap film, vertical clips for social media, recordings of the speaker sessions if they were filmed, and a short summary of what the event produced. Agree the delivery dates before the event, and make sure every file is handed over in your name.
