Event Management, Production and Coverage in Amman

The Big Agency plans, produces and covers events in Amman and across Jordan: corporate events and conferences, product launches, openings and brand activations. One team writes the plan and the run-of-show, coordinates the venue and technical suppliers, designs the event branding and invitations, manages the day on site, and photographs, films and live-streams it.

An event is a one-take production: there is no second chance at the opening minute. We plan it like a shoot, run it like a broadcast, and keep everything it produces.

What we can deliver

What event management with us covers

  1. 01

    Concept, plan and run-of-show

The objective, the audience, the format and the budget, written down before anything is booked. Then a run-of-show that times the day minute by minute - arrivals, speeches, stage changes, breaks - so every supplier and every speaker works from the same sheet.

  2. 02

    Venue, suppliers and technical production

Venue shortlist and booking, stage, sound, lighting, LED screens and furniture, coordinated through technical suppliers we work with and confirmed in writing. You deal with one point of contact instead of six vendors on six phone lines.

  3. 03

    Event branding, invitations and registration

A visual identity for the event, the stage backdrop and screen content, signage, badges and printed material, plus digital invitations with RSVP, a map, a countdown and an add-to-calendar link - in Arabic and English.

  4. 04

    On-site management on the day

An event manager and crew on site from load-in to the last guest: supplier call times, stage management, guest check-in, timing against the run-of-show, and decisions made on the spot when something moves.

  5. 05

Photography, multi-camera video and live streaming

Event photography, multi-camera filming of the stage and the room, and live streaming to YouTube, Facebook, LinkedIn or a private link when the audience is wider than the venue. Speaker sessions are recorded with clean sound so they can be published afterwards.

  6. 06

Event marketing, and content after the day

Teasers and paid promotion before the event, selected photos and short clips while it is still happening, and afterwards a recap film, vertical cuts and a written summary of what the event produced.

Why coverage belongs in the event plan, not after it

Many events in Amman are planned by one supplier and filmed by another who was booked a week before. The result is predictable: the camera goes wherever there is space, the stage lighting was designed for the room rather than the lens, and the speaker's microphone is not connected to anything the crew can record.

When the same team plans the event and covers it, those decisions are made together. Camera positions are in the floor plan, the lighting works for the room and for the recording, the sound desk sends a clean feed to the cameras and the stream, and the shot list is written from the run-of-show. The event is better on the day, and what it leaves behind stays usable for months.

What we need from you to start

A useful first message answers four questions. If some are still open we can help close them - it simply moves the plan forward more slowly.

  • The date, or a window of dates, and the city or venue if one is already chosen.
  • The objective in one sentence, and who the guests are.
  • An approximate guest count and a budget range.
  • Whether you need the whole event managed, or coverage and content only.

Process

From the brief to the recap film

The exact scope changes with the project, but the thinking stays focused and transparent.

01

Brief, objective and budget

We start from what the event has to achieve - a launch that gets press, a conference that produces leads, an opening that fills the room - and from the guest list and the budget. The written plan and the quote follow from that.

02

Production, suppliers and rehearsal

Venue, stage, sound, lighting, screens, branding and invitations are booked and confirmed in writing. The run-of-show is locked a week out, and a technical rehearsal runs before the doors open.

03

The day, then the content

We run the day on site and cover it as it happens. Selected photos and clips go out the same day when that is in the scope; the recap film and the full photo set follow, with every file handed over in your name.

What determines the price

Two projects with the same name can differ several times over in cost. These are the variables that actually move the number, so you can judge any quote you receive - ours or anyone else's.

  • The guest count and the venue - they decide the size of the stage, the sound system, the crew and the catering conversation.
  • The production level: a lectern and one screen, or a built stage with LED walls, a lighting design and show control.
  • Coverage: how many photographers and cameras, whether the event is live-streamed, and how much content is edited on the day.
  • Branding and print volume: backdrop, screens, signage, badges, printed material and digital invitations.
  • Lead time - an event with eight weeks to plan costs less than the same event with eight days.

Send us the scope and you get a written quote with a fixed figure, usually within one working day. The number does not change unless the scope changes in writing.

Questions before you book an event

How much does it cost to organise an event in Amman?

It depends on the guest count, the venue, the production level and how much of the day is filmed and streamed, so we do not publish one figure. We quote against a written scope, and third-party costs - venue hire, catering and equipment rental - appear as separate lines, so you can see exactly what you are paying for and change any part of it.

How far in advance should we book?

Six to eight weeks is comfortable for a conference, a launch or an opening, because good venues and technical suppliers are booked early. Coverage only - photography, video and live streaming - can usually be arranged within two to three weeks if the date is free.

Do you organise events, or only film them?

Both. We can run the whole event - plan, venue, suppliers, branding, invitations and the day itself - or join an event someone else is organising as the photography, video, live-streaming and content team. The written scope says which.

Can you live-stream the event?

Yes. We stream with multiple cameras and a clean feed from the sound desk to YouTube, Facebook, LinkedIn or a private link. A stable wired internet line at the venue is the one thing that decides the quality, so we test it before the event day rather than on it.

Do you work outside Amman - the Dead Sea, Aqaba or other cities?

Yes. We plan and cover events across Jordan. Travel, accommodation and transport for the crew are listed in the quote up front rather than added afterwards.

Who owns the photos, the videos and the guest list?

You do. Photos, footage, project and design files, and the registration data are handed over in your name. You can use them anywhere, without asking us again.
